    You keep your notes as usual

    Short bullet points are fine. You enter questionnaire scores yourself. Cases use a client reference, never a name. Everything sits dated in one case file.

    The draft arrives with its sources

    Report Copilot arranges your own records under the headings the insurer asks for. Each sentence shows its note and date. Assessment, goals and the sessions you request are your own words.

    You edit, sign and export

    The draft is working material. You write the final report and you are responsible for it. Export it as PDF or Word, or copy the text into your own record.

  1. Insurer extension request

    Presenting difficulties and progress to date come from your notes. Authorisation details and outcome scores are filled from the case file. Your assessment, goals and sessions requested are yours alone. The heading follows the insurer: Bupa, AXA Health, Aviva, Vitality, WPA or Cigna.

  2. Treatment plan

    Your goals, frequency and review date are printed as you wrote them. The planned approach is restated from your own session notes. A review date is required before you can sign.

  3. End-of-treatment summary

    Sessions attended, the course of therapy and the opening and closing scores of each questionnaire. Aftercare is your own text.

  4. GP letter

    Start, progress or end of therapy. Attendance comes from the record, themes from your notes. The letter stays locked until you have recorded the client's consent to share it.

  5. Attendance confirmation

    Dates and the number of appointments, for an employer or school. No health information and no mention of the kind of treatment.

Questionnaire scores appear as instrument, raw score and date. Report Copilot adds no band and no label.

What happens to your data

We write only what holds today. Details are on the privacy and security page.

Servers in Germany
Content is stored and processed in Germany. The UK recognises the EEA as adequate, so no extra transfer agreement is needed for that.
Encrypted per practice
Content is encrypted in the application with a key for your practice, in addition to the hosting provider's own measures.
No training on your data
Your notes are not used to train or evaluate models.
No names sent
Cases carry a client reference. Names, postcodes, phone numbers, NHS numbers and similar details are masked before any text reaches a language model.
Pilot: fictional cases only
During the free pilot you enter fictional or fully anonymised cases. Real client data comes later, with a signed data processing agreement and a named UK representative.
Your record stays yours
Report Copilot is not your clinical record system. Keep your own record as your professional body requires.

Questions we hear from practices

Does the software write my assessment?

No. Your assessment of the current condition, your goals and the sessions you request are your own words. The software only restates what is in your notes, with the source next to each sentence.

Is this regulated software?

Report Copilot is documentation and administration software. It does not assess, predict or recommend, and it gives no alerts. This is our own reading of the MHRA guidance; it is not an MHRA decision. See the intended purpose in the privacy and security page.

Where is my data processed?

In Germany. The UK treats the EEA as adequate. The provider itself is not a UK or EU company; the company details say who we are, and the privacy policy says what that means for you.

Do insurers accept these reports?

The report is yours: you review, edit and sign it. We cannot say what an insurer will authorise. Formats differ per insurer, which is why we ask pilot therapists for real examples.

Can I use real client data in the pilot?

Not yet. The pilot uses fictional or fully anonymised cases. Real client data needs a signed data processing agreement and a named UK representative first.
