Privacy policy
This notice applies to the website psyclinicai.com and the US pilot waitlist. The US Privacy Notice for the application itself is published in the app. No health data is processed on this website. The free pilot is for de-identified or fictional data only, so no protected health information is accepted here.
1. Controller
Atilla İlhan, a natural person established in Türkiye; no company has been formed. E-mail: support@psyclinicai.com. See the company details.
We are established in Türkiye. Our servers are in Germany during the free pilot. We do not claim HIPAA compliance. The pilot takes no protected health information, so no Business Associate Agreement is needed. Before we accept real client data we will offer one.
2. Hosting and access data
The website and the waitlist run on servers of Hetzner Online GmbH in Germany, which processes data on our behalf. When you open a page, the web server records technical access data such as IP address, time and page. We use this data to run and secure the site and to protect it against abuse, and we delete it after seven days.
3. No cookies
We set no cookies, use no audience measurement and load no third-party content. Nothing is stored on your device.
4. Waitlist with double opt-in
Data: your e-mail address; optionally practice type, main approach and whether you are willing to take part in a 15-minute conversation. As proof of consent we store the wording and version of the consent text, the time, and the IP address of your confirmation.
Process: after you submit the form we send a confirmation e-mail. The sign-up counts once you open the link. Without confirmation we delete your details after 30 days.
Purpose: telling you when the pilot opens and inviting you. If you tick the separate marketing box, we may also send occasional marketing e-mail about product updates, offers and events. That box is empty by default and is a separate consent. We send no marketing e-mail to US recipients until we publish a valid physical postal address for it; confirmation and pilot access e-mail are not marketing.
Why we may do this: you asked us to, by ticking the box and confirming the link. We keep proof of consent so we can show that you agreed. Every e-mail follows the CAN-SPAM Act: a true sender, a subject that matches the content and a working unsubscribe link.
E-mail delivery: we send e-mail through Resend, Inc., USA, which processes it on our behalf. Our agreement with Resend covers the transfer. Resend receives your e-mail address and the content of the e-mail.
Withdrawal and deletion: you can withdraw at any time with the link in every e-mail or by writing to support@psyclinicai.com. We then delete your optional details and IP addresses at once, and keep the e-mail address, consent text and timestamps for three years as proof. On the unsubscribe page you can instead choose immediate, complete deletion.
5. Internal notification
When a sign-up is confirmed, we receive a push notification with the running total and the optional details you gave, never your e-mail address.
6. Contact by e-mail
If you write to us, we use your details to answer you and delete them two years after the matter is closed.
7. No sale of personal information
We do not sell your personal information, and we do not share it for advertising. We share data only with the processors named in this notice, by category: hosting and e-mail delivery. We also disclose data where the law requires it.
8. Your choices
You can ask us for a copy of your data, ask us to correct or delete it, or ask us to stop using it. You can withdraw consent at any time. Write to support@psyclinicai.com and we will answer within 30 days. We do not treat you differently for making a request.
9. No automated decisions
We make no solely automated decisions that affect you. Your e-mail address is required for the waitlist; everything else is optional.
10. US Privacy Notice in the app
The privacy notice for the service itself is published in the app as the US Privacy Notice. It covers the records you create with Report Copilot, including the later paid use of real client data under a Business Associate Agreement.
