For licensed clinicians in private practice · Free pilot
Treatment plans, plan reviews and record requests, drafted from your own notes.
Every sentence links to the note it came from. Your assessment, your goals and your plan stay yours.

- PilotNo protected health information
From your notes to a draft you can check.
-
1
You keep your notes as usual
Short bullet points are fine. You enter scores and codes yourself. Cases use a client reference, never a name. Everything sits dated in one case file.
-
2
The draft arrives with its sources
Report Copilot arranges your own records under the headings your plan asks for. Each sentence shows its note and date. Your assessment, your goals and the sessions you request are your own words.
-
3
You edit, sign and export
The draft is working material. You write the final document and you are responsible for it. Export it as PDF or Word, or copy the text into your own record.
Six documents, all from your own records.
Health plans, attorneys and licensing boards ask for the same things again and again. Draft them in minutes, then make them yours.
-
Initial treatment plan
Your presenting concerns, goals, frequency and review date are printed as you wrote them. The planned approach is restated from your own session notes. A review date is required before you can sign. ICD-10-CM and CPT codes appear only as fields you type.
-
90-day plan review
Sessions attended, progress toward each goal and the opening and closing score of each measure, with the note and date behind every line. Your updated goals and the sessions you request are yours alone.
-
Record request response pack
For a request from a health plan, an attorney or a licensing board. The completeness check lists what is missing or does not match in your notes: dates, times, code and duration match, signature, plan in force, goal reference. It never says what to write or what to include.
-
Continued-care letter
Presenting concerns and progress to date come from your notes. Your assessment, your goals and the sessions you request are yours alone. The letter stays locked until you have recorded the client's consent to share it.
-
Good Faith Estimate
The estimate for self-pay clients. Session rate, number of sessions and total come from your fee schedule as you enter it.
-
Superbill
Dates of service, codes and amounts as you enter them, ready for the client to submit. No clinical narrative is added.
Questionnaire scores appear as instrument, raw score and date. Report Copilot adds no band and no label.
A coordination letter to a primary care clinician or psychiatrist is drafted the same way, from the same record. It stays locked until you have recorded the client's consent to share it.
The software arranges. You decide.
| Topic | The software | You |
|---|---|---|
| Records | Places your records under the headings your plan asks for | Choose which records go into the document |
| Sources | Links each sentence to its note and date | Check the source and the date |
| Codes | Leaves ICD-10-CM and CPT fields empty | Type the codes and the session length |
| Gaps | The completeness check lists what is missing or does not match | Decide what to add, change or leave out |
| Judgment | Writes no assessment, no treatment recommendation and no statement of medical necessity | Write your assessment, your goals and the sessions you request |
| Sign-off | Holds the draft ready for your review | Review, edit, approve and sign. The document is yours. |
What happens to your data
Your notes stay under your control, and we write only what holds today. Details are on the privacy and security page.
- Servers in Germany during the pilot
- Content is stored and processed in Germany for the free pilot, which takes de-identified or fictional data only.
- Encrypted per practice
- Content is encrypted in the application with a key for your practice, in addition to the hosting provider's own measures.
- We do not train on your notes
- We do not use your notes to train or evaluate models.
- Client identity masked on your device
- Cases carry a client reference. Names, addresses, phone numbers and similar details are masked before any text reaches a language model, and the server refuses recognizable identifiers.
- Pilot: no protected health information
- During the free pilot you enter de-identified or fictional cases, with the 18 identifiers of the HIPAA Safe Harbor method removed. We do not claim HIPAA compliance. The pilot takes no protected health information, so no Business Associate Agreement is needed. Before we accept real client data we will offer one, in a US region.
- Your record stays yours
- Report Copilot is not your clinical record system. Keep your own record as your license and your state rules require.

Questions we hear from practices
Does the software write my assessment?
No. Your assessment, your goals and the sessions you request are your own words. The software restates what is in your notes, with the source next to each sentence. You review, edit, approve and sign every document.
Do you claim HIPAA compliance?
We do not claim HIPAA compliance. The pilot takes no protected health information, so no Business Associate Agreement is needed. Before we accept real client data we will offer one, in a US region.
Who decides medical necessity?
You do. The software does not decide medical necessity, does not recommend treatment and does not predict what a health plan will do. It gives no alerts and no risk score.
Which states does this work in?
The tools are built for private practice in the United States and are not tied to a single state. Your license and your state board record rules still govern what you keep and what you release.
What happens to my notes?
During the free pilot, notes are stored and processed in Germany, encrypted with a key for your practice, and we do not use them to train or evaluate models. Client identity is masked on your device, and the server refuses recognizable identifiers.
Can I use real client data?
Not yet. The pilot takes de-identified or fictional data only, with the 18 identifiers of the HIPAA Safe Harbor method removed. Real client data comes later, in a US region, under a Business Associate Agreement.
What does it cost?
The pilot is free and needs no card. Prices after the pilot are not published yet, and billing is off.
